Compliant Email Archiving

When it comes to business, there is no longer such a thing as a document or letter that 'got lost in the mail.' Neither the competitive market nor the demands of your organization will allow for inaccurate or incomplete documentation (or history) of project developments, important agreements and electronic communication of every form. In addition, legislation enacted in the last decades (Serbanes-Oxley in 2002 and the Health Insurance Portability and Accountability Act of 1996) as well as an amendment to Rule 26 of the Federal Rules of Civil Procedure in 2006, have made it not only necessary but a legal requirement for virtually every form of business or organization to keep and maintain electronically stored information, including e-mail and other digital communications -- in a secure (but accessible) format, for at least 7 years.

Investing to build an infrastructure and archival facility capable of meeting these demands is prohibitively expensive and remains a constant and ongoing cost for any organization. It is also necessary to make sure that such information is stored remotely, encrypted securely and has redundant back-up systems to prevent data-loss from power failure, hardware failure or other similar events.

NetStream's E-mail Archiving and Compliance solutions combine an enterprise-level infrastructure with the highest industry standards for secure remote data-storage of e-mails, allowing your business or organization to:

• Meet the requirements of e-discovery and other government regulations (including all of the above legislation as well as Gramm-Leach-Bliley (protecting consumer private data involving financial institutions) and the SEC/NASD for long-term storage of financial records and electronic communications.

• Ensure that all e-mail (whether it is generated internally or externally or is distributed in-network or outside your office) immediately upon contact with your business or organization's e-mail server, is captured, indexed and copied for secure storage -- at an encryption level equal to or exceeding the standards of HIPAA, financial and public organizations (including schools and hospitals).

• Avoids additional burden on your own e-mail servers, and makes additional and continuing investments in storage and maintenance of terabytes of data unnecessary -- while permitting you the ability to easily and successfully access that same information without having to be restricted to a single terminal or office computer.

NetStream employs WORM (Write-Once-Read-Many) tapes for your encrypted archival e-mail storage -- and stores the information for the maximum legal requirement (7 to 10 years). The data cannot be altered after it is stored, ensuring your e-mail communications are accurate and complete to the original date of entry.
